Salary: circa £18,000 pro rata

 

JOB DESCRIPTION

Primary Purpose

The Retail, Administration and Events Assistant will support the Museum management team with a variety of day-to-day activities of the Museum. This will include being the main point of contact for telephone and email enquiries and assisting the Head of Fundraising in managing events and running our shop.

 

Main duties and responsibilities

  • Assist with the day-to-day administration of the Museum, including
  1. Manning main telephone point and directing enquiries appropriately.
  2. Dealing with the receipt, distribution and despatch of mail.
  3. Maintaining the Museum’s diary.
  4. Assisting with financial duties such as weekly banking.
  • Take and managing bookings for Museum events such as lectures and lunches.
  • Assist with the day-to-day running and administration for the Museum’s retail offer (the gift shop and online), including stock ordering and management and despatch of online orders.
  • Provide other general administrative assistance to the management team, as directed.

 

Person Specification:

  • Excellent communication and interpersonal skills showing confidence in dealing with the public, face to face and on the telephone.
  • Ability to engage effectively a wide range of stakeholders, including staff, volunteers, Trustees, partner organisations, the armed forces, funding agencies, local authorities and others.
  • Ability to deal with tight and changing deadlines.
  • Ability to prioritise own workload and manage time effectively.
  • Good numeracy skills.
  • Excellent organisational abilities.
  • Ability to work with a multi-functional team, sharing resources to maximise impact.
  • Flexibility over working hours and arrangements as may be reasonably required.

 

Knowledge, Skills and Experience:

  • Proven experience in an administrative or similar role.
  • Sound and accurate IT skills, including experience with Word, Excel, PowerPoint and data management systems.
  • Experience in a similar customer-facing role.
